Photo Privacy and Sharing
Personal Data Collection and Consent:
• Even if people are not identified by name, photos/videos are considered personal data.
• General video/picture taking at an event where individuals will not be identified in future materials does not require consent.
• If the video or image will later be connected to an identified individual (e.g. by name) in future marketing materials, then consent must be collected via a consent release form. Please reach out to your CELA contact for further guidance.
• For all events where photos/videos will be taken, regardless of later use, notice must be given.
• Therefore, there must either be a link to the Microsoft Privacy Statement at the point of registration or a privacy notice at the point of entry to the event that notifies attendees that pictures and/or videos may be taken throughout the event and that the attendee's image may be used for specified purposes e.g. marketing, etc.

Sharing and Usage:
• Any photography featuring members of the Senior Leadership Team (SLT) must be approved before use.

• Using ECE photography internally within Microsoft is approved.
• Using ECE photography for external purposes is approved as long as there is no personally identifiable information (PII) included within the photo. Example: someone’s name on a badge.
• Sharing photos with external partners is approved with the following caveats:
- • No PII may be included within the photo.
- • Group shots are the preferred images to be shared with external partners.
- • External partners may use photos for internal purposes only. They are not approved for external use unless otherwise stated in their contract. Some exceptions can be made on a case-by-case basis depending on the business need.
